How Do You Check Your Sweden Visa Application Status?

sweden visa status

Short answer: To check your Sweden visa status for a visitor (Schengen) visa, use the tracking page of the visa centre where you applied, usually VFS Global, with your reference number and date of birth. The Swedish embassy or consulate makes the decision. Most short-stay visas are decided within 15 calendar days, but it can take up to 45 days if extra checks are needed. Work, study and family permits are different: you follow those through the Swedish Migration Agency’s e-services.

What does Sweden visa status mean?

Your Sweden visa status shows where your passport and application are in the process. It tells you whether the file has been received at the visa centre, sent to the embassy, decided, or returned for collection. It normally does not say whether the visa was approved. “Decision made” or “processed” can mean approval or refusal; you find out when you open the envelope.

Knowing this avoids a lot of worry. A Sweden visa status that has not changed for a few days is normal while the embassy is working on your file.

Who decides a Swedish visitor visa?

Short-stay Schengen visas for Sweden are decided by the Swedish embassy or consulate responsible for the country where you live. In some countries, another Schengen country represents Sweden and makes the decision on its behalf. Visa centres such as VFS Global only collect applications, take fingerprints and return passports. They cannot speed up or influence a decision.

The Swedish Migration Agency (Migrationsverket) handles residence permits for work, study and family, and acts as the appeal body for some decisions. It does not normally show the Sweden visa status of a tourist or business visitor visa.

How do you check your Sweden visa status, step by step?

Here are five easy ways to stay on top of your Sweden visa status.

  1. Find your reference number. It is printed on the receipt or email the visa centre gave you when you gave your fingerprints.
  2. Use the online tracker. Open the Sweden page of VFS Global for the country where you applied and choose “Track your application”. Enter your reference number and date of birth exactly as on the receipt.
  3. Read the stage. Typical stages are “received at the visa centre”, “forwarded to the embassy”, “processed at the embassy” and “ready for collection” or “dispatched by courier”.
  4. Turn on SMS or email updates. Many centres offer paid SMS alerts, so you do not need to keep checking your Sweden visa status by hand.
  5. Contact the visa centre if needed. If the tracker shows an error, the visa centre’s helpline or email can confirm where your passport is.

How long does a Sweden visitor visa take?

Under the EU Visa Code, consulates aim to decide short-stay visas within 15 calendar days of receiving a complete application. In individual cases, especially when more documents or checks are needed, this can be extended to 45 days. Busy seasons, such as summer and the weeks before Christmas, are often slower.

You can apply up to six months before your trip and no later than 15 days before. The safest window is three to six weeks ahead. Our Sweden visa guide explains the full process.

What if your Sweden visa status has not changed for weeks?

A Sweden visa status stuck at “forwarded to the embassy” for more than 15 days is worth looking into. Work through these steps:

  • Check your email and spam folder. The embassy may have asked for more documents.
  • Make sure you are on the right website. Sweden uses different visa centres in different countries.
  • Contact the visa centre first. They can see the handover and courier history.
  • Contact the embassy only after 15 days. Have your reference number, passport number and travel date ready. Be polite and brief.
  • Do not book non-refundable travel until your passport is back.

How do you check a Swedish residence permit status?

Work, study and family residence permits are decided by the Swedish Migration Agency. If you applied online, you follow your case by logging in to its e-services with your case number. The Agency also publishes typical processing times for each permit type. This is a different system from the Sweden visa status of a short Schengen visit.

What happens after the decision?

When your passport comes back:

  1. If approved, check the visa sticker carefully: your name, passport number, dates of validity, number of entries and number of days allowed. Report any mistake straight away.
  2. If refused, you receive a standard refusal form listing the reasons and how to appeal. Read it carefully before deciding whether to appeal or reapply.

Many refusals come from weak proof of money, unclear travel plans or doubts about your return home. Our guides on cover letters and Schengen applications help you build a stronger file.

How can you avoid delays in the first place?

A complete file is the best way to keep your Sweden visa status moving.

  • Use the official checklist for your country and visa type.
  • Make sure your passport is valid for at least three months after your trip and has two blank pages.
  • Buy travel insurance with at least €30,000 medical cover for the whole Schengen area.
  • Provide recent bank statements showing regular income and enough money for your stay.
  • Add a short cover letter that explains your trip, who is paying and why you will return home.
  • Book your appointment early in the morning slots if you can.

Can you travel while your passport is at the embassy?

No, unless you hold a second valid passport. Your passport stays with the visa centre and embassy until the decision is made. Plan your application so you do not need to travel during processing. If an emergency comes up, contact the visa centre to ask whether you can withdraw your application and collect your passport.

A real example: checking a visitor visa in Nairobi

Grace in Nairobi applies for a Sweden visitor visa to attend her sister’s wedding in Gothenburg. She gives her fingerprints at the VFS Global centre and keeps the receipt. Each morning she checks her Sweden visa status online. For nine days it reads “forwarded to the embassy”. On day ten it changes to “processed at the embassy”, and two days later to “ready for collection”. She collects her passport and finds a single-entry visa covering the wedding dates. Because her file was complete, she never needed to contact anyone.

Which mistakes slow down a Sweden visa status?

  • Using a tracking website that is not the official visa centre
  • Missing an email asking for more documents
  • Applying with an insurance policy that does not cover the full trip
  • Giving bank statements that show sudden large deposits
  • Applying only a few days before the trip

Sweden visa status vs Schengen rules

A visa issued by Sweden is a Schengen visa. If approved, it usually allows travel to other Schengen countries during its validity, as long as Sweden is your main destination. The 90-days-in-180 rule still applies. Your Sweden visa status page only covers the application; once you have the visa, the rules on the sticker are what matter.

Sweden visa status for family, business and student trips

The way you check your Sweden visa status is the same for every short-stay purpose, but what the embassy looks at differs:

  • Family visits: an invitation from your relative in Sweden, a copy of their ID or residence permit, and proof of your relationship. If they pay for the trip, their bank statements too.
  • Business trips: an invitation letter from the Swedish company, a letter from your employer, and proof of who pays.
  • Short courses (under 90 days): an enrolment letter and proof of fees paid. Courses longer than 90 days need a residence permit from the Swedish Migration Agency, which is tracked in its e-services rather than as a Sweden visa status at a visa centre.

Matching your documents to your purpose is the simplest way to avoid “additional documents requested” delays.

How does Sweden visa status work if another country represents Sweden?

In some countries Sweden has no consulate of its own, so another Schengen country decides visas for Sweden. In that case, you still apply through the visa centre named on the Swedish embassy website, and you still check your Sweden visa status on that centre’s tracker. The decision letter may carry the representing country’s details. That is normal and does not change what the visa allows.

Sweden visa status and data privacy

Only enter your reference number and date of birth on the official visa centre website. Third-party “visa status checker” websites cannot see embassy systems. Some collect personal data or charge for information you can get free. If a website asks for card details just to show your Sweden visa status, close it.
