How to Book a VFS Appointment: Step-by-Step Guide

vfs appointment

Short answer: A VFS appointment is a booked time slot at a visa application centre run by VFS Global, a private company that collects visa applications, fingerprints and photos for many governments. To book one, go to the official VFS Global website for your destination and the country where you live, create an account, enter your details, choose a centre and time, and pay any service fee. On the day, bring your appointment confirmation, passport and documents. VFS does not decide your visa. The embassy or consulate does.

What is a VFS appointment?

VFS Global is a private company that runs visa application centres for more than 60 governments in many countries. When you book a VFS appointment, you reserve a time to visit one of these centres to submit your application, give your fingerprints and photo (biometrics), and hand over your passport if the embassy needs it.

VFS does not make visa decisions. Its staff check that your file is complete, scan or forward your documents, collect fees and send everything to the embassy or consulate. The decision is made by government officers. After the decision, VFS returns your passport to you by collection or courier.

Not every country uses VFS. Some use TLScontact or BLS International, and some embassies take applications directly. Always check which provider your destination uses in the country where you live.

How do you know if you need a VFS appointment?

You need a VFS appointment if your destination country uses VFS Global for applications from your country of residence and your visa requires an in-person visit. Common examples are Schengen visas for certain countries, Canadian visitor visas (for biometrics), and many other visit, study and work visas.

The fastest way to confirm is to check the official embassy website for your destination. It will link to the correct visa centre. You can also use our visa checker, which shows the provider for your route.

How do you book a VFS appointment? The 8 easy steps

These steps follow the same flow that Alif Visa uses when we book a VFS appointment for a client.

  1. Check your route on Alif Visa. Confirm on our visa checker that your destination uses VFS Global where you live.
  2. Open the official VFS website. Go to vfsglobal.com and choose your destination country and your country of residence. Do not use links from adverts or social media.
  3. Create an account. Register with your email address and verify it.
  4. Complete the online application if required. Some countries ask you to complete their own government form first, for example the IRCC form for Canada or a national visa form for a Schengen country.
  5. Choose your centre and visa type. Pick the city and the correct visa category.
  6. Select a date and time. Choose from available slots. If none appear, check again later, because new slots are released regularly.
  7. Pay the fee and choose extras. Pay the VFS service fee and, if required, the visa fee. Optional extras are not compulsory.
  8. Download your confirmation. Print the appointment letter or save it on your phone and bring it with you.

If you would like a specialist to book your VFS appointment and prepare your file, Alif Visa can handle the booking and check every document beforehand.

How much does a VFS appointment cost?

There are usually two separate charges:

  • The visa fee, set by the government. It is sometimes paid to the embassy, sometimes collected by VFS.
  • The VFS service fee, charged for handling your application at the centre.

On top of these, VFS offers optional services, such as a premium lounge, prime time slots outside office hours, document scanning help, SMS updates and courier return of your passport. These are optional. You do not have to buy them to get a normal VFS appointment, and buying them does not change the visa decision.

Fees vary by country and change often. The VFS website for your route lists the current amounts before you pay.

What should you bring to your VFS appointment?

Bring originals and copies, in the order listed on the checklist for your visa:

  • Your VFS appointment confirmation
  • Your passport, plus old passports if requested
  • The completed application form, signed if required
  • Passport photos that meet the country’s rules
  • Proof of payment for any fees
  • Supporting documents, such as bank statements, employment letters, bookings and insurance
  • Your residence permit if you are applying outside your country of nationality

Arrive 10 to 15 minutes early. Most centres do not allow large bags, and some do not let you keep your phone switched on inside. Our visa bank statement guide and cover letter guide help you prepare the most important documents.

What happens at the VFS centre?

A typical VFS appointment follows these stages:

  1. Security check at the entrance.
  2. Token and check-in, where staff confirm your appointment.
  3. Document submission, where staff check your file against the checklist. They may point out missing items, but they cannot tell you whether you will get the visa.
  4. Payment of any outstanding fees or optional services.
  5. Biometrics, where your fingerprints and photo are taken.
  6. Receipt, with a reference number for tracking.

The whole visit usually takes 30 to 90 minutes, depending on how busy the centre is.

How do you reschedule or cancel a VFS appointment?

Log in to your VFS account and look for the option to reschedule or cancel. Many routes allow one or two free changes, but rules differ by country. If you cannot find the option, use the official VFS contact details for your route.

Do not simply skip your VFS appointment. Some systems limit how quickly you can book again after a missed slot. If you cancel, do it as early as possible so the slot goes to someone else.

What if no VFS appointment slots are available?

High demand, especially for Schengen visas in spring and summer, can make slots hard to find. Try these steps:

  • Check early in the morning and at different times of day, when new slots are often released.
  • Look at other VFS centres in your country of residence if the rules allow it.
  • Apply earlier. Many Schengen countries let you apply up to six months before travel.
  • Consider prime time or premium options only if you need flexibility.

Be very careful with people who sell VFS appointment slots on social media. Buying slots from unofficial sellers can put your data at risk, and some governments treat it as misuse of the system. Only book through the official VFS website or a trusted adviser who books in your name.

Can someone else attend your VFS appointment for you?

Usually not, if biometrics are needed. Fingerprints and a photo have to be taken in person, so every applicant aged 12 or over normally attends their own VFS appointment. Children under 12 are often exempt from fingerprints but may still need to attend with a parent.

If you gave biometrics for the same country recently, some routes let you skip the fingerprint step for a set period, and a representative or courier may submit your passport instead. Check the rules for your destination. Applicants who cannot travel because of illness or disability can ask the visa centre about special arrangements.

How do you track your application after your VFS appointment?

After your VFS appointment, use the “track your application” page on the VFS website. Enter your reference number and date of birth or surname. You will see when your file was sent to the embassy, when it came back, and when your passport is ready to collect or has been couriered.

The VFS tracker does not tell you whether your visa was approved. You find that out when you receive your passport or decision letter. Our visa status check guide explains how tracking works for each country.

An example: a family Schengen appointment

Here is a typical example. Kofi, a Nigerian citizen living in Birmingham with a UK work visa, planned a summer trip with his wife and two children. Their main destination used VFS Global in the UK.

Kofi checked the official embassy site, followed the link to VFS Global, and created an account. He booked four consecutive slots at the London centre, because that was the centre covering their application. He skipped the premium lounge but chose courier return so the passports would come home. He printed the confirmations, prepared a folder for each family member, and arrived 15 minutes early.

At the centre, staff noticed that one child’s birth certificate copy was missing. Kofi had a copy on his phone, and the centre printed it for a small fee. All four applications were submitted in under an hour, and the passports arrived by courier with visas two weeks later.

Which mistakes cause problems at a VFS appointment?

  • Booking on a fake website. Always start from the embassy site or vfsglobal.com.
  • Choosing the wrong visa type in the booking system.
  • Arriving without the confirmation letter.
  • Missing documents or photos that do not meet the rules.
  • Paying for extras you do not need.
  • Buying slots from social media sellers.
  • Missing your slot without cancelling.
