Travelling for a Conference or Trade Fair

Conference applications are usually straightforward on the merits and difficult on the calendar. Thousands of people need appointments in the same weeks, and the event date does not move.

The evidence that makes an event trip easy to assess

The core document is your registration confirmation from the organiser, showing your name, the event, the venue and the dates, and ideally the payment. A generic event brochure is not the same thing. If you are speaking, exhibiting or on a panel, the confirmation of that role is stronger still.

Add a letter from your employer confirming your position, that you are attending on the organisation's behalf, who is paying, and your expected return to work. Where the organiser issues invitation letters for visa purposes, request one early; most large events have a process and a deadline for it.

If you are exhibiting, include the stand contract or exhibitor confirmation. Trade fair participation is an explicitly recognised business visitor activity in most systems, and the exhibitor paperwork is the cleanest way to demonstrate it.

  • Registration confirmation naming you, with dates and venue
  • Organiser's visa support letter where they issue one
  • Employer letter confirming the trip is on the organisation's behalf
  • Speaker, panel or exhibitor confirmation if applicable
  • Accommodation and travel bookings matching the event dates

Apply before the rush, not with it

Major events generate a spike in applications from every region at once. Appointment availability at consulates in the relevant countries tightens weeks in advance, and processing slows. The people who struggle are those who waited for final internal approval of the travel budget.

Apply as early as the rules permit, which for many routes is up to three months before travel. If your organisation's approval process is slower than that, the approval process is the thing to fix.

Check appointment availability before you commit to attending. If the earliest slot in your city is after the event, you need to know that in week one, when there may still be options such as a different consulate within your jurisdiction or a priority service where offered.

Paid speaking and the permitted activity question

Attending a conference is business visitor activity almost everywhere. Being paid to speak is a different question. Some countries have a specific category for permitted paid engagements, with conditions about the invitation, the nature of the engagement and its duration. Others treat paid speaking as work requiring a permit.

Reimbursement of travel and accommodation expenses is generally treated differently from a fee, but the boundary varies. If you are receiving an honorarium or a fee, establish the correct basis before applying, and apply in the right category rather than the convenient one.

The same applies to performers, athletes and creative professionals attending events in a professional capacity. These often have dedicated categories, and using a general business visa instead can cause a problem at the border.

Travelling as a group

Where several colleagues are attending, applications are still individual, but preparation benefits enormously from being centralised. One person should hold the master list of names exactly as they appear in passports, passport numbers and expiry dates, and should check them against the registration list.

Provide a single consistent set of employer documentation, with an individual letter for each traveller drawn from the same template, and one itinerary and accommodation plan. Inconsistency between colleagues' files on the same trip is noticed.

Check every passport's remaining validity at the start. In any group of ten, at least one person usually has a passport expiring sooner than they thought, and renewal takes longer than the fortnight before an event allows.

After the event

If you plan to add leisure days to the trip, include them in your itinerary and your application rather than treating them as private. A trip described as five days that runs to twelve raises a question at the border that a fully stated itinerary would have avoided.

Keep your registration confirmation, boarding passes and entry stamps. For frequent event travellers these build the record of compliant travel that supports a longer-validity multiple-entry visa later.
